The hidden risk of AI in your business isn’t what you think.
There’s a very high chance your team are already using tools like ChatGPT and Claude in their day to day work.
In many ways, that’s a good thing. AI is helping businesses move faster, reduce admin and get better results with less effort. It is quickly becoming part of how modern workplaces operate, whether businesses have formally introduced it or not.
The issue is not that people are using AI. The issue is how they are using it.
In most small and medium sized businesses across the UK, there is little to no guidance in place. That means staff are left to figure things out for themselves. When that happens, convenience usually wins.
Someone wants to summarise a document, so they paste it into an AI tool. Someone wants help replying to a client email, so they drop the full message into a prompt. Someone needs help analysing a spreadsheet, so they upload the file to their personal account.
None of this feels risky in the moment. It feels helpful, efficient and harmless.
But this is where the problem starts.
When business information is entered into unmanaged AI platforms, you lose visibility and control over that data. Depending on the tool and how it is configured, that information could be stored outside your organisation, retained for longer than expected or even used to improve the service itself.
That might include client details, internal processes, pricing information or commercially sensitive data. Once it has been shared, there is no practical way to pull it back.
There is also a newer and often overlooked risk. Many AI tools now offer deeper integrations with your device or business systems. Staff can connect them to local files, cloud storage, email accounts or even internal applications to save time or automate tasks.
On the surface, this looks incredibly powerful. In reality, it can open the door to far broader access than intended.
If an AI tool is given permission to interact with local folders or company systems, it may be able to read, analyse or move data well beyond what a user originally intended. A simple request could end up exposing entire directories, shared drives or sensitive datasets without anyone realising the scale of access that has been granted. Worse still, the AI tool can edit or delete data without the employee taking note of what the AI is planning to do.
Combined with a lack of oversight, this creates a situation where large amounts of business data can be accessed or processed externally with very little control or audit trail.
What makes this more challenging is that your team are not doing anything wrong on purpose. In fact, they are often trying to be more productive and helpful. AI gives them a quick way to solve problems, and without clear guidance, they will naturally use whatever tools are easiest to access.
This is why simply blocking AI tools rarely works. If people see value in them, they will find alternatives, often in less visible ways.
What can I do?
A better approach is to take control of how AI is introduced and used within your business. That starts with setting clear expectations. Staff need to understand what is safe to share and what should never be entered into an AI tool. They also need access to approved platforms that are configured with business use in mind, rather than relying on personal accounts.
Education plays a big part as well. When people understand the risks in simple terms, they tend to make better decisions. This does not need to be overly technical or heavy handed. It is about giving practical examples and clear boundaries that fit into their day to day work.
For many businesses, this is where their IT provider should be stepping in. AI is no longer a future consideration. It is already impacting data security, compliance and the way staff handle information. That makes it a core part of modern IT and cyber security planning.
